Guide 7: Review costs, controls, and ownership together

A sustainable platform has visible owners for access, review, spending, and exit.

Make the inventory small and real

List the accounts, user roles, connected systems, subscriptions, and recurring responsibilities involved in the current workflow. Include who can add a user, approve spend, change settings, remove access, and export work if the business changes direction.

The inventory does not need to become an enterprise procurement program. It needs to be accurate enough that the business knows what it has introduced and who can act on it.

Treat human review as a cost and control

If an output needs a careful check before use, that review is part of the real workflow. It can be worthwhile, but it should be visible when the business decides whether to keep or expand a role.

The right review depends on the stakes. A public draft, customer message, financial instruction, and employee record should not all follow the same release rule.

Plan an exit while the scope is small

A practical platform plan includes a way to remove access, export appropriate work, stop an integration, and return to the former process if the trial ends. An exit rule does not mean failure. It keeps a business from being trapped by an unexamined habit.

Revisit the inventory after a significant workflow, account, or information-boundary change. The business should not discover its platform only after something goes wrong.
