Guide 4: Keep the system of record separate from the AI workspace

Decide where official information lives before a helpful drafting space becomes an uncontrolled record system.

Name the source of truth

A system of record is the place the business treats as authoritative for a particular kind of information: a customer system, accounting platform, operations file, employment record, or approved document repository. It may not be perfect, but it has a defined role in the business.

An AI workspace can help people draft, summarize, classify, or search approved material. That does not automatically make it the place where the final customer, financial, or operational record should live.

Plan the movement of information

For each first workflow, ask what enters the workspace, what stays out, who can see it, how long it remains, and how a reviewed output moves back to the official place. Use a public, redacted, or fictional example when the answers are not ready.

A connection between systems can be useful, but it can also expand access and make a mistake travel farther. Treat an integration as an operating decision with an owner, not a shortcut around an unclear process.

Keep the record clean

A human-approved result should enter the official record through the business's normal rule. Do not allow an unreviewed AI output to create a customer promise, payment instruction, employee record, or operational status simply because it is convenient.

The precise requirements depend on the business, its contracts, and its industry. When there is doubt, stop and ask the responsible owner or qualified advisor.
